Help us provide safe, welcoming places for older people across East Sussex
Every service we provide depends on safe, accessible and well-managed environments. Whether an older person is receiving advice, attending an activity, accessing support or connecting with our staff and volunteers, they should be able to do so in a place that is welcoming, reliable and cared for.
We are looking for an organised and proactive Facilities Coordinator to help us maintain these environments. You will coordinate facilities requests, maintenance activity, compliance information, contractor arrangements and property records across our locations. Your work will help protect people, reduce organisational risk and ensure that our resources remain focused on improving the quality of later life for older people across East Sussex.
About the role
As Facilities Coordinator, you will act as a first point of contact for facilities-related enquiries, making sure that requests are recorded, tracked and followed through to completion.
Your responsibilities will include:
- Coordinating maintenance and facilities activity with colleagues, contractors and sites
- Maintaining accurate property, facilities and compliance records
- Tracking inspections, servicing, certifications and outstanding actions
- Coordinating contractor appointments and access arrangements
- Obtaining and maintaining contractor documentation, reports, quotations and certificates
- Preparing routine reports and highlighting overdue actions or emerging risks
- Supporting property, facilities and improvement projects
- Maintaining project records, action plans and supporting documentation
- Escalating significant facilities, safety or compliance concerns promptly
About you
You will be highly organised, confident managing competing priorities and committed to seeing tasks through to completion. You will take pride in producing accurate work and be able to build positive working relationships with colleagues, volunteers, contractors and suppliers.
You will bring:
- Experience of coordinating activities, information, projects, services or administrative processes
- Experience of maintaining accurate records, databases, trackers or similar systems
- Strong organisational and prioritisation skills
- The ability to follow up actions and meet deadlines
- Good written and verbal communication skills
- Confidence using Microsoft Office applications and other digital systems
- Strong attention to detail
- The ability to work independently and collaboratively
- An understanding of confidentiality and information security
- The willingness and ability to travel to Age UK East Sussex locations when required
Experience in facilities, property or compliance administration would be helpful but is not essential. We would also welcome experience involving health and safety processes, contractors or suppliers, audits and inspections, utilities, sustainability reporting, or work within a charity, public-sector or community-focused organisation
All job applicants will be required to provide at least 2 referees (one must be your most recent employer) and be prepared to undertake a basic DBS Disclosure. This process forms part of our recruitment policy. Please note that we will only accept applications on our company application form.
