1.Purpose

Age UK North Craven is committed to protecting and respecting your privacy and security. Whenever you provide us with your personal information we will treat that information in accordance with this policy, and General Data Protection Regulation (GDPR) legislation.

  1. Collection and use of personal data

By using our website and any services we offer via our website, you are agreeing to be bound by this policy. This policy may change from time to time, so please check this policy periodically.

  1. How do we collect information from you?

We may collect and store information about you when you interact with us. For example, this could be when you:

  • Support our work through a donation
  • Fundraise on our behalf
  • Register for or participate in an event we are running
  • Submit an enquiry
  • Register for or use our services
  • Give us feedback
  • Make a complaint
  • Apply for a job
  • Register as a volunteer
  • Enter a contract with us
  • Are captured by CCTV recording.

When you interact with us on social media platforms such as Facebook, WhatsApp, Twitter or LinkedIn we may also obtain some personal information about you. The information we receive will depend on the privacy preferences you have set on each platform and the privacy policies of each platform. We may obtain information about your visit to our site, for example the pages you visit and how you navigate the site, by using cookies.

If you are aged sixteen or under‚ please get your parent / guardian's permission beforehand whenever you provide us with personal information.

  1. What type of information is collected from you?

When you engage with us by phone, mail, in person or online, we may collect information about you (referred to in this Privacy Notice as 'personal information'). This may include your name, address, email address, telephone number, date of birth, job title, next of kin, details of your education and career, why you are interested in Age UK North Craven, and other information relating to you personally which you may choose to provide to

Data protection law recognises that certain types of personal information are more sensitive. This is known as 'sensitive' or 'special category' personal information and covers information revealing racial or ethnic origin, religious or philosophical beliefs and political opinions, trade union membership, genetic or biometric data, information concerning health or data concerning a person's sex life or sexual orientation.

Sensitive information will only be collected where necessary, for example, we may need to collect health information from you when you register with us so we can provide a service or support you as a volunteer or member of staff. Clear notices will be provided at the time we collect this information, stating what information is needed, and why.

With your explicit consent, we may also collect sensitive personal information if you choose to tell us about your experiences relating to our services for use in a case study for monitoring and evaluation purposes.

  1. How is your information used?

Responding to a request: If you contact us with a query, we may use your personal information to provide you with a response.

Informing you about and delivering any services provided by Age UK North Craven.

Contacting any agencies or third parties that we have agreed with you to contact on your behalf.

Donation processing: We will process personal information you provide in order to administer any one-off or on-going donations you make and claim Gift Aid.

Monitoring and Evaluating: We may use your information in order to improve current and future delivery of our services. We also asked by funders to monitor the number and profile of people we are supporting and the impact of our services, through reports and case studies. Currently we are feeding information back to North Yorkshire County Council and Age UK for this reason.

Processing an application to work with us: We may process your information if you send or fill in an application form or send us your CV or details in respect of an opportunity to work or volunteer with us in order to evaluate your suitability and respond to you.

Administration: We may use your personal information to record and deal with a complaint, record a request not to receive further marketing information, record what our volunteers have done for us, and for other essential internal record keeping purposes.

Prevention of crime: We may record your image on CCTV which we use to prevent crime and keep our people and the public safe.

Protecting your vital interests: We may process your personal information where we reasonably think that there is a risk of serious harm or abuse to you or someone else.

Legal, regulatory and tax compliance: Where required we are subject to a legal obligation, we may process your personal information to fulfil that obligation.

  1. Who has access to your information?

We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes.

If you have used our services, we may on occasion share basic demographic and service information with Age UK the national charity so they can help us monitor and ultimately improve the services we provide. The information we share will not include your name or your contact details, unless you give us your consent to do so for a specific purpose, such as sharing your story. When we do share this information, we do so under the lawful basis of legitimate interest.

It may be necessary to pass your information to another third party in order to process a service (e.g. to provide you with a service), but we will only share the personal information necessary to deliver that service and only with your prior consent.

  1. Lawful Processing

The GDPR requires us to rely on one or more lawful grounds to process your personal information. Age UK North Craven uses the following grounds:

Consent: when you have given clear consent for Age UK North Craven to process your personal data for a specific purpose.

Contract: the processing is necessary for a contract Age UK North Craven has with you, or because you have asked us to take specific steps before entering into a contract.

We will only send you marketing information by post, email, SMS, or phone if you have given us specific consent. If you respond to a fundraising appeal by post, you may also receive fundraising mail, which you can opt out of at any time.

12. Keeping your information safe

We use technical and corporate organisational safeguards to ensure that your personal information is secure. We limit access to information on a need-to-know basis and take appropriate measures to ensure that our people are aware that such information is only used in accordance with this Privacy Notice.

We undertake regular reviews of who has access to information that we hold to ensure that your information is only accessible by appropriately trained staff, volunteers and contractors.

Our network is protected and routinely monitored.

However, please be aware that there are always inherent risks in sending information by public networks or using public computers and we cannot 100% guarantee the security of data (including personal information) disclosed or transmitted over public networks.

This policy was last reviewed in July 2023 by the Trustee Board and Chief Officer It is kept under regular review and updated where necessary. This policy may be amended by Age UK North Craven at any time in order to take into account changes in best practice and legislation.
