Room Hire Terms and Conditions

Our rooms and event spaces across West Sussex are available for community groups, businesses and individuals to hire. To keep our centres safe, accessible and enjoyable for everyone, please note the following key requirements when booking with Age UK West Sussex, Brighton & Hove.

Using our spaces
Bookings must be used only for the agreed purpose and time. Please include set-up and clear-down time in your booking and leave the space clean, tidy and secure when finished. Hirers are responsible for supervising their event, managing their guests and ensuring noise levels remain respectful of neighbours and other users.

Health, safety and fire procedures
Fire exits must remain clear at all times. Hirers should familiarise attendees with evacuation routes and promptly report any accidents or hazards to staff. All electrical items brought in must be safe and in good working order. No animals (except assistance dogs), barbeques, LPG or flammable items are permitted.

Food, drink and alcohol
If bringing or serving food, the Hirer is responsible for ensuring it meets food safety standards. Alcohol may not be sold without a Temporary Event Notice (TEN) and prior written approval from AUKWSBH.

Safeguarding
Events involving children or vulnerable adults (other than private family events) require a safeguarding policy and staff with appropriate DBS checks.

Payments, deposits and cancellations
Full payment is required 28 days before the event, or at the time of booking if within that period. All bookings require a deposit, which may be withheld for cleaning, damage or call-out costs.
Cancellations are free more than 4 weeks ahead, 50% charge within 4–2 weeks and full charge within 2 weeks.

Insurance
Commercial hirers must hold Public and Employers Liability insurance. External caterers or contractors must hold their own relevant insurance.

Parking
Parking is at the vehicle owner’s risk and only in designated areas. Public parking charges are not included in hire fees.

Privacy
We process personal data in line with GDPR to administer your booking and ensure safety. You may withdraw consent at any time.
