We are seeking a highly organized and detail-oriented Office Assistant to join our team. As the Office Assistant, you will play a crucial role in ensuring the smooth operation of the office, greeting visitors, and providing administrative support to the Executive Assistant along with other team colleagues.

Based on reception at our Head Office, your duties will involve:

  • Greeting visitors and announcing them where appropriate
  • Performing general clerical duties, including photocopying, scanning, etc
  • Type and prepare correspondence, reports, and other documents
  • Assist with data entry tasks
  • Assist with organizing meetings and events
  • Assist the Marketing & Fundraising department with administrative tasks
  • Manage the internal training process
  • Ensure all incoming & outgoing mail is managed effectively and within a timely manner
  • Perform other administrative tasks as may be required

Requirements:

  • Proven experience in an office or administrative role
  • Proficient in computerized systems, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides)
  • Excellent copy typing skills and attention to detail
  • Audio typing skills (desirable)
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Knowledge of basic clerical procedures and office equipment operation
  • Familiarity with data entry processes
  • Exceptional phone etiquette
  • Good written and verbal communication skills
  • Approachable, and friendly
  • Work well within a team or alone
  • Flexible, working to changing priorities
